Congress Planning: From the First Step to Event Day

A guide to planning congress objectives, programmes, responsibilities and event-day coordination together.

Define the goal and the audience

Congress planning begins with agreement on its purpose, before searching for a hall. Knowledge sharing, professional networking and a research agenda call for different programmes. A short project brief should identify the attendees, the questions they want answered and what they should take away. This becomes the shared reference for later decisions.

Turn the programme into a working plan

Once session topics are defined, create a schedule for speaker invitations, presentation submissions and technical preparation. Assign an owner and deadline to every task. Identify which other tasks a decision affects: a room change, for example, affects signage, seating and audio planning together. Review the schedule regularly.

Rehearse event day in advance

Prepare a single running order covering everything from the welcome to the final session. Venue, stage and registration teams should all use the same current document. Decide in advance who makes decisions when a speaker is late or the programme overruns. A short technical rehearsal can reveal overlooked needs. After the congress, collect team observations and identify practical improvements for the next gathering.
