How to Prepare for an Event Live Stream
Key preparations for your broadcast schedule, audio, connectivity and technical rehearsal.
Think about the remote viewer
The experience in the venue differs from watching online. Remote attendees see the stage, slides and speaker through the selected camera view. Do not simply copy the venue programme into the broadcast plan. Design transitions such as the opening screen, speaker information, break announcements and closing separately.
Check audio and connectivity together
Clear speech matters as much as the picture. Confirm the broadcast audio source and microphone arrangements with the technical team. Test the internet connection using the actual streaming setup rather than relying only on a general speed test. Watch from different devices to check the platform at the chosen settings. Agree the steps to take if the connection drops.
Rehearse the actual running order
During rehearsal, test screen sharing, video playback, camera changes and remote connections in sequence. Make it clear who makes broadcast decisions. Brief speakers on microphone use and timing. On event day, monitor the stream on a separate viewer device to catch audio or video problems that may not be noticeable inside the venue.
