How to Plan Event Welcoming and Registration

Make the first contact simple
On arrival, attendees should be able to work out where to go quickly. Make the event name and registration point visible at the entrance. Use consistent wording in invitations and on-site signs. In venues hosting more than one event, consider additional directions to help guests avoid joining the wrong queue.
Prepare for busy arrival periods
Attendees often arrive close to the start time. Plan registration desks and staff responsibilities around this peak. Where needed, provide separate arrangements for pre-registered guests, new registrations and general enquiries. Clarifying who handles guest lists, badges and directions prevents one person from having to answer every question.
Show the next step after registration
Once registration is complete, help guests find the hall, cloakroom or waiting area easily. Make it clear where attendees with access requirements can request assistance. Keep the welcome team informed of programme changes. Afterwards, record the questions they received most often to identify which information needs to be more visible next time.
