Ways to create a shared programme and interaction plan for in-person and online attendees.
Design two attendee journeys
At a hybrid event, in-person and online attendees reach the same content in different ways. A guest at the venue sees signs; a remote attendee needs a link and joining instructions. Map registration, the start, sessions and breaks separately for each group. Then check how these steps connect within the shared programme.
Create a shared approach to questions
Taking questions only from the room can leave remote attendees as passive viewers. Assign someone to monitor online questions. Agree beforehand which channel the moderator will use and how questions will be ordered. Make sure questions asked in the room can also be heard on the stream; the moderator can briefly repeat them when needed.
Make breaks and connections clear
Display the return time on a break screen so remote attendees are not left watching an empty stage. Test remote speakers’ connections and audio before the event. Inform both audiences at the same time when the programme changes. Separate feedback on the in-person and online experiences will help reveal where improvements are needed.
